Maintaining the trust and confidence of our clients is a high priority. That is why we want you to understand how we protect your privacy when we collect and use personal information about you, and the steps that we take to safeguard that information. This notice is provided to you on behalf of Hartmann CFO, LLC (“Hartmann CFO,” “we,” “us” or “our”).

Personal Information We Collect from You:

We collect certain identifying information about you (such as your name, address, phone number, social security number, date of birth, etc.). We also collect information about your financial circumstances, assets/liabilities, financial accounts, and transactions (including information pertaining to your real estate assets and investment positions). We may collect limited payment-related information necessary to process fees and reimbursable expenses (e.g., bank account details for ACH per a signed authorization). We also may obtain information (such as user credentials) designed to allow us to access your online or other financial accounts necessary for us to provide services to you.

 

We collect personal information about you from your use of our website, questionnaires or other forms, and while providing services to you. When you authorize us to do so, we will collect personal information about you from third parties, such as your professional advisors (including, among others, third parties such as financial planners, investment advisors, accountants, attorneys, bankers, brokers, insurance agents, and tax advisors.) If the Parties later agree to use a third-party software platform for data aggregation/reporting, such use will occur only under a separate Platform Addendum executed pursuant to your Services Agreement.

 

Sharing of Your Information:

We may share your personal information with any of our employees, officers, insurers, professional advisers, agents, suppliers or subcontractors insofar as reasonably appropriate for the purposes set out in this Policy. When you authorize us to do so, we will share personal information about you to third parties, such as your professional advisors (including, among others, your financial planners, investment advisors, accountants, attorneys, bankers, brokers, insurance agents, and tax advisors.). You may direct us to not share personal information with specific professional advisors.

 

We share personal information about you with third parties primarily to perform services on your behalf. We may also share personal information about you in the course of conducting our business (such as in conjunction with exploring and entering strategic transactions, such as mergers or acquisitions, with outside third parties) and in order to market services and products to you. We may also share your personal information as required by applicable law or court order. We do not share your personal information with third parties for the purpose of having them market their products and services to you. We do not sell your personal information. Vendors and subcontractors that process your information for us are required by written agreement to keep it confidential and to implement information-security safeguards no less protective than ours. Where legally permitted, if we are compelled to disclose your information, we will provide you with prompt notice to allow you to seek protective treatment.

 

Safeguarding Your Personal Information:

It is our policy to protect your personal information by doing the following:

  1. Safeguarding any data, computer files and documents containing your personal information from any misuse by third parties.

  2. Destroying, erasing or making unreadable any data, computer files and documents containing your personal information prior to their disposal.

  3. Protecting the confidentiality of your personal information.

  4. Prohibiting the unlawful disclosure of your personal information.

  5. Restricting access to your personal information to any third parties except in accordance with the terms of this Privacy Policy.

  6. Restricting the access to your personal information only to our employees who we believe should have access to such information.

  7. Maintaining other physical, electronic and procedural safeguards in compliance with applicable federal and state laws and regulations. We implement reasonable administrative, technical, and physical safeguards designed to protect nonpublic client information from unauthorized access, disclosure, or loss; however, no method of transmission or storage is fully secure.

Retention of Personal Information:

We retain personal information only as long as reasonably necessary to provide services, meet legal/regulatory requirements, resolve disputes, and enforce our agreements, after which it is deleted or securely archived in accordance with our retention practices.
